If you run a business, then almost no matter what it does it will require the use of printed documents and that will mean it needs printers, copiers, fax machines and other similar devices. This allows your business to make hard copies of things as back up and as a resource, it allows you to make letters and bills, and it allows you to send letters and bills and other things to members of staff. You might also use printing to make promotional items.
As your business badly needs printing facilities then that means that it also badly needs inks and toners – that it needs HP ink cartridges, Dell toner cartridges etc depending on the business – and it also means that it's very crucial that the company keeps these topped up in order to be able to do the maximum amount of work without interruptions. If you find your printers running out of ink and you don't have any in the area then this can result in your having to cease work and while you order the ink, or at least cease elements of your work. Even if you have ink in the office, there are high-pressure moments in the office where you don't want to have to spend the time finding replacement cartridges and installing them.
Thus it is highly important to make sure printers etc stay topped up and that you have a supply of ink. The best way to do this is to first of all make sure that you order large amounts of HP ink cartridges, Dell toner cartridges or whatever you need up front. By ordering in bulk you can often get a reduced price, and this way you will have a large amount that you can plunder. You'll also save money on delivery costs by having multiple Dell toner cartridges for example sent at once, and you'll save time spent ordering as you'll only have to do it every few months at most. It does of course mean you need storage so make sure that you have a cupboard or something somewhere to put these items.
You should also make sure to keep on top of topping up the inks and encourage your staff to do so. There will usually be a flashing light that indicates when your inks are running out, and if you can keep an eye on that then you will be able to top up the inks before they completely run out. Also look out for signs on the computer itself, often the driver software includes a widget to inform you how much ink you have left when you use the printer each time. Ask your staff at the end of each day to check the ink levels and to replace them if necessary. You can check yourself for faded ink on copies and pick your staff up on that.
Another thing to do is to make sure that your staff know how to save ink to keep costs to a minimum and to make supplies last as long as possible. Tell them to choose fast prints over high quality except in a few instances, and tell them not to make unnecessary copies of things.
