If you run an office based business or manage an office then there are many things to keep in mind. While you will be managing the staff and making sure they all work well and happily, it will also be your responsibility to manage the supplies and make sure that you are always stocked up and ready to go. This means for instance making sure that you always have enough toner and toner in the right amounts, and if you do not then this can result in big problems for your company.

If your business uses laser printers or laser fax machines then toner is highly crucial. Toner is the equivalent of ink cartridges for home ink jet printers, however it is also distinctly different and you will find it's not possible to use ink cartridges in laser printers. You also need the right brand of toner such as MICR toner. Toner cartridges work instead by allowing a laser to pass through them and that way burn the ink particles onto the paper and this is why documents are warm when they emerge from laser printers. This also gives toner some important advantages over ink jet. It means for instance that it is much faster, and it means it is more efficient so that the toner cartridges last longer. It also prevents smudging meaning that documents can be stacked up without being ruined. This means that most companies use laser printers which use toner cartridges. At the same time though you can save further money for your company by choosing laser printers that are particularly efficient and you will find that some printers get through ink at a slower rate than others. This is important to consider when reducing overheads and it's worth doing some research to save yourself a lot of money in the long run. However you should also think of the quality of the print and bear in mind that this will reflect on your company when you send letters etc. Consider too the brand such as MICR toner which can affect both of these elements then.

So this is why many offices use MICR toner cartridges and if you sure buying new supplies then it's important to ensure you choose devices that do. It's also then important to make sure that you keep enough toner cartridges in supply so that your staff can do their work. This means always having at least a few spares so that if multiple devices run out at once you can replace them all immediately. Until you do your staff will be unable to print or to receive faxes and depending on the nature of your company this can actually freeze productivity. In the publishing industry for instance printing is highly important for creating floor plans and there are many other reasons companies print or scan. Not receiving faxes too can mean you don't receive important communications and so are unable to act as required.

When buying MICR toner then, don't wait until you are out to order it. Instead order when you still have ample supply so that you never stall your work and so that there is always a 'buffer' for those days when everything goes wrong and all of your devices run out of ink at the same time (it happens). Likewise be sure to order in bulk as this will get you discounts and save on shipping costs while also meaning you reduce how often you need to put orders in.
